Qubicsquare Privacy Notice
Version: 1.0
Effective date: 30 September 2026
1. Who we are
QUBICSQUARE TECHNOLOGIES PRIVATE LIMITED ("Qubicsquare", "we", "us" or "our"), CIN U62013DL2023PTC423829, operates Qubicsquare at https://qubicsquare.tech.
Registered address:
22A, D-Block, Naveen Place, Jharoda Road, New Delhi, South West Delhi, Delhi, 110043, India.
This Privacy Notice explains how we collect, use, disclose, retain and protect personal information when you use our website, contact us, subscribe to newsletters, read editorial content, or interact with administrative features.
This notice does not automatically apply to separate products or services that have their own privacy notice.
Privacy questions, rights requests and grievances can be sent to legal@qubicsquare.tech.
Support and unsubscribe requests can be sent to support@qubicsquare.tech.
Qubicsquare and SITRAI are operated by the same company. A subscription to one brand does not automatically subscribe you to communications from the other.
2. Information we process
We may process the following information.
Newsletter information
We may collect your email address, selected publication, subscription status, registration source, consent scope, consent version and consent time.
For registrations using our updated form, we also record confirmation that you are aged 18 or over. Older subscription records may not contain this confirmation.
Enquiry information
When you contact us, we may collect your name, email address, enquiry category, message, optional organization details and any other information you choose to provide.
Technical and security information
We may process technical information such as your IP address, browser or user-agent details and request timing where necessary to operate the website, maintain security and prevent abuse.
Our application may use identifiers derived from request information for rate limiting and abuse prevention.
Infrastructure providers may also maintain operational and security logs.
Support and privacy correspondence
We may retain communications with our support or legal contacts and information reasonably necessary to investigate, respond to and maintain records of requests.
Administrator information
For authorized administrators, we may process account identity, invitations, roles, session information, token records and audit events required to manage access and publishing.
We do not require sensitive personal information for ordinary website enquiries or newsletter registration.
Do not submit passwords, payment information or confidential third-party information through these forms.
Providing information through an enquiry or newsletter form is voluntary. If required information is not provided, we may be unable to respond or provide the requested service.
3. How we use information
We use personal information to:
provide communications you request;
respond to enquiries;
manage subscriptions and communication preferences;
operate and secure our website;
prevent fraud, spam and abuse;
manage authorized administrative access;
maintain appropriate records; and
comply with applicable legal obligations.
Where European Union or United Kingdom data protection law applies, we may rely on consent, legitimate interests, steps taken before entering into a contract, or legal obligations depending on the purpose of the processing.
Consent may be used for optional newsletters and similar communications.
Legitimate interests may be used for proportionate website security, administration, abuse prevention and ordinary correspondence where those interests are not overridden by your rights.
Where your enquiry concerns a potential contract, we may process information needed to take steps at your request before entering into that contract.
We may also process information where required by applicable law.
Visiting our website does not by itself constitute consent to optional marketing.
If you withdraw marketing consent, we will not change the legal basis simply to continue the same marketing.
4. Newsletter subscriptions
Newsletter registration is optional.
New subscribers may choose to receive Qubicsquare Blogs and News through an explicit consent checkbox and confirm that they are aged 18 or over.
We only use subscription information for the communications you selected.
Existing Blog-only subscriptions remain Blog-only unless you expressly agree to receive additional communications.
Updates to this Privacy Notice do not expand the scope of an existing subscription.
You can unsubscribe at any time using the unsubscribe link contained in a newsletter or by contacting support@qubicsquare.tech.
No special wording is required and we do not charge for unsubscribing.
You may also object to direct marketing by contacting legal@qubicsquare.tech or support@qubicsquare.tech.
A request concerning one subscription does not automatically cancel other subscriptions unless you ask us to do so.
You may also ask us to stop all marketing communications from the company.
Unsubscribing from marketing does not prevent us from responding to enquiries, handling privacy requests or sending communications required by law.
5. Service providers and disclosures
We use service providers to help operate our website and communications.
These include Vercel for hosting, Google Cloud for database and infrastructure services, and Hostinger for email delivery.
Authorized personnel and service providers may access personal information only as necessary to perform their responsibilities.
Because Qubicsquare and SITRAI are operated by the same company, information may be handled for shared administrative or operational purposes.
This does not authorize marketing outside the scope of your subscription or consent.
We may also disclose information where required by law or valid legal process.
We may disclose information where lawful and proportionate to protect our rights, users, systems or security.
Information may also be transferred as part of a merger, acquisition, restructuring or transfer of business assets, subject to applicable safeguards and required notices.
6. International processing
We are based in India.
Some of our service providers may process personal information outside your country.
Processing locations depend on the services used and their configuration.
International transfers are handled in accordance with applicable data protection and transfer requirements.
Using a cloud or multi-region service does not necessarily mean that information is stored only in India, only in the European Union, or in every country where a provider operates.
You may contact legal@qubicsquare.tech for information about relevant processing locations and transfer arrangements.
7. How long we keep information
We keep personal information only for as long as reasonably necessary for the purpose for which it was collected.
Retention may depend on whether a subscription remains active, whether an enquiry has been resolved, whether follow-up is required, security needs, legal obligations, complaints or disputes.
We periodically review retention requirements rather than applying one retention period to every type of information.
When you withdraw consent, we stop the relevant optional communications.
We may retain limited records of consent, withdrawal or suppression where necessary to respect your preferences or demonstrate how we handled your request.
These records are not permission to restart marketing.
Email lookup hashes and other identifiers that can still be associated with an individual are treated as personal information and not as anonymous information.
Enquiries may be delivered to us by email.
Although our content database may not retain the submitted message body, copies may remain in email inboxes while needed to respond, manage follow-up or meet justified retention requirements.
Backups and provider logs may follow separate retention and deletion cycles.
Deletion from an active system may not result in immediate removal from every backup.
8. Security
We use technical and organizational measures designed to protect personal information.
Our application uses Google Cloud Key Management Service encryption and keyed lookup identifiers to protect stored email identities.
Administrative access is restricted.
Authorized server processes may decrypt email addresses for approved purposes, such as sending communications you requested.
Transport security and infrastructure controls are separate from stored email protection.
Not every type of information necessarily uses the same protection method.
These measures do not make personal information anonymous and do not constitute end-to-end encryption.
No method of electronic storage or transmission can guarantee complete security.
9. Your privacy rights
Depending on the law that applies to you and the processing involved, you may have rights relating to your personal information.
These may include rights to access, correct or delete information, restrict certain processing, receive information in a portable form, withdraw consent or object to certain processing.
To submit a privacy request or grievance, contact legal@qubicsquare.tech.
Please provide enough information for us to identify the relevant interaction, subscription or record.
We may request additional information where reasonably necessary to verify your identity or process your request.
We will respond within the time required by applicable law.
Where a lawful exception or limitation applies, we will explain it where required.
Withdrawing consent does not invalidate processing that was lawful before the withdrawal.
It also does not prevent processing that remains required or permitted under applicable law.
You may also have the right to complain to the applicable data protection or supervisory authority.
10. Children
Our newsletter registrations are intended for adults aged 18 or over.
We request confirmation of adulthood rather than a date of birth.
If you believe a child has registered or submitted personal information through a registration form, contact legal@qubicsquare.tech.
We will review the situation and take appropriate action.
Public articles can be read without registration.
11. Changes to this notice
We may update this Privacy Notice to reflect changes to our practices, services or legal requirements.
The current version and effective date will be shown at the top of this notice.
Where required, we will provide additional notice of material changes or request fresh consent before using information for a new purpose.
Updating this notice does not automatically expand consent that you previously provided.
